Deleting titles from Voyager – updated 12/12/2005

 

  1. Withdraw the item record in Voyager. 

a.       Retrieve the item record by scanning the book’s barcode.                           

     On the Voyager toolbar,

·        click on Record,

·        Retrieve by barcode and

·        scan or type in the barcode. 

·        Verify that the accession number in the book, on the shelf list card, and in the Voyager holdings OR item records are the same.

·        Verify that you have retrieved the correct record by comparing bibliographic information from the book and shelf list card with the Voyager bib record.

·        Retrieve the Bib record by following the steps listed below under heading 3.

·        Add OCLC number to the withdrawn list.

b.      If more than one copy in Voyager, delete the one in hand and place a Post-It-Note in top of book “another copy in Voyager”.  Do not add OCLC number to the “withdrawn list”.  Place book on the “problem shelf”.

c.       If there is another copy at another campus, follow procedures in 2.a. but do not put the OCLC number on the withdrawn list. Place a Post-It-Note in top of book “another copy Roberts Drive”, “Another copy Technology Drive”, Another copy College Drive”, as appropriate.  Place book on the “problem shelf”.

d.      If book doesn’t have a barcode OR the barcode doesn’t work, place a Post-It-Note in top of book “barcode doesn’t work” or “no barcode” (meaning no barcode in the back of the book). Place book on the “problem shelf”.

e.       IF NO Barcode in back of book and Voyager has ONLY Bib and Holdings records, no item (barcode) record, if you’d like you may or follow procedures in “2.c”:

·        Delete the bib and holdings as needed.

·        Add the OCLC number to the withdrawn list.

 

  1. Retrieve the Holdings record and Bib records, click on the Hierarchy tab on the Voyager toolbar.  Locate our item, holdings and bib record.  To retrieve the holdings and bib records, find the AshCC Stacks Location headings, click on the appropriate record(s) under Bib ID, MFHD ID, and Item ID.  This will highlight our records.  To open these records, click on the Retrieve button at the bottom/center of the Voyager display/window.*

 

  1. -From the Bib record page, notice the number that appears in the 035 field that begins with ocm OR (OCoLC)ocm.  As needed, write this number on the bottom of the shelf list card.

 

  1. Delete the Item, Hldg (holdings), and Bib records as appropriate and in that order.  In order to delete any record, it must be displayed on the computer screen.

 

  1. Once the record is displayed on the computer screen,

·        click on record on the Voyager toolbar,

·        delete on the Voyager drop down menu to delete the record.

  1. Delete holdings in OCLC as needed.  We will only delete the OCLC holdings if we have completely withdrawn the title from the ACTC collection.

 

  1. Box up the books.

 

*Alternate way of retrieving the Bib and holdings/MFHD records.

-Open the holdings record.  Retrieve the holdings record by clicking on the Retrieve Holdings for the Active Bibliographic Record toolbar icon (stack of 2 books with blue strap, NO arrows).  A check mark will appear in the box when the “suppress from OPAC” feature is activated.

-Open the Bib record by clicking on the bib title(s) tab and double clicking on the title displayed there.  If we are deleting all of ACTC’s item and holding records, we will delete the item record(s), holdings record(s) and bibliographic record, in that order.
